How to Set Up a 20-Seat Call Center in 2 Weeks

Two weeks sounds aggressive — but with the right planning, supplier, and installation team, a 20-seat call center can go from empty floor to fully operational in 10–14 business days. This is the step-by-step process we've refined across dozens of BPO fit-outs in Metro Manila.

Day 1–2: Floor Plan and Furniture Specification

Before ordering anything, you need a confirmed floor plan. Measure the space accurately — length, width, ceiling height, column positions, window locations, and power outlet positions. A 20-seat call center requires approximately 3.5–5 square meters per agent (including walkways and supervisor stations). For a 20-seat floor, plan for 70–100 square meters of usable space.

  • Measure the full floor area and note all fixed obstacles (columns, pillars, fire exits)
  • Identify power outlet and data port locations — these determine cubicle row orientation
  • Confirm ceiling height — affects panel height selection
  • Note HVAC vent positions — avoid placing workstations directly under vents
  • Confirm fire egress requirements with your building management

Day 2–3: Furniture Selection and Order Placement

For a 20-seat call center, you'll need: 20 workstation cubicles (typically 120cm × 60cm or 150cm × 60cm), 20 ergonomic task chairs, 1–2 supervisor stations (larger footprint), and a small team leader area. Place your order no later than Day 3 to allow for manufacturing and delivery within the 2-week window. GreatWorks can deliver standard call center cubicle configurations within 5–8 business days for Metro Manila.

Day 3–5: Electrical and Data Infrastructure

While furniture is being manufactured, coordinate with your electrician and IT team to prepare the floor. Each workstation needs a power outlet (minimum 2 sockets) and a data port within reach. If the floor doesn't have sufficient outlets, a licensed electrician needs to install floor boxes or cable trays before furniture arrives. This is the most common cause of delays — don't leave it until the furniture arrives.

Day 6–8: Furniture Delivery and Installation

A 20-seat cubicle installation typically takes 1–2 days with a professional installation team. GreatWorks provides a dedicated installation crew for all fit-out orders. The installation sequence matters: cubicle panels and frames first, then work surfaces, then cable management, then chairs. Ensure the installation team has clear access to the floor and that the building's freight elevator is reserved.

  • Day 6 morning: Delivery of all furniture components to the floor
  • Day 6 afternoon: Cubicle panel and frame installation begins
  • Day 7 morning: Work surfaces, overhead storage, and cable management installed
  • Day 7 afternoon: Chairs assembled and placed, final adjustments
  • Day 8: Punch list — check all mechanisms, verify cable routing, confirm layout

Day 9–10: IT Setup and Testing

With furniture installed, your IT team can run cables, install computers, and set up headsets and phones. This phase typically takes 1–2 days for a 20-seat floor. Ensure cable management is used consistently — loose cables under desks are a safety hazard and make future changes difficult. Test every workstation before agents arrive.

Day 11–14: Agent Onboarding and Chair Adjustment

The final step is often overlooked: ensuring every agent has their chair properly adjusted for their body. An ergonomic chair that's never been adjusted provides no ergonomic benefit. Schedule 10 minutes per agent for chair adjustment training — seat height, lumbar support, and armrest positioning. This investment pays back immediately in comfort and productivity.

Common Mistakes That Blow the Timeline

In our experience, these are the most common causes of call center setup delays:

  • Delayed floor plan confirmation — don't order furniture until the layout is finalized
  • Electrical work not started until furniture arrives — coordinate these in parallel
  • Building management approval not secured in advance — get freight elevator and loading bay access confirmed early
  • Furniture order placed too late — order by Day 3 at the latest for a 2-week timeline
  • IT infrastructure not ready when furniture is installed — IT prep should run in parallel with furniture manufacturing
